Procedures for Resident and Committee
Payments to Resident:
The resident has the option to be paid for tidying up after use of the common areas of the meetinghouse. (A separate paid cleaning person does extended cleaning once a month.) This cleaning is paid quarterly in January, April, July, and October at $18 per hour for up to 6 hours per quarter.
The resident receives $180 from the treasurer at the beginning of each quarter to cover ongoing expenses and supplies for the Meeting, such as coffee, toilet paper, and cleaning supplies. The resident reports the actual expenses in the monthly report.
The treasurer provides $50 in cash to the resident to provide emergency assistance to those who may need immediate help (the resident should also consult with the clerk of M&O for guidance on other resources).
The resident is authorized by the Meeting to make emergency repairs of up to $250, notifying the Building Committee and the treasurer ASAP. Emergency repairs are typically plumbing or electrical problems that must be fixed immediately. Non-critical or more expensive repairs must be authorized by the Building Committee or Meeting for Worship with Attention to Business.
The resident submits to the treasurer requests for reimbursement of out of pocket expenses for items which have been approved by the Meeting or a committee.
Guest Apartment
The resident Friend:
Schedules use of the guest apartment and provides hospitality for guests. (Includes processing phone calls, e-mails, and letters, maintaining scheduling calendar, sending confirmations to guests when the $40 deposit is received, and arranging for key pickup and drop off)
Does laundry and cleaning for guest apartment.
Maintains linens, décor and furnishings of apartment to guest standards.
Submits requests for repairs or improvements to Building Committee.
Vacation Time
Because the resident's responsibilities may require being available at least some time each day, 7 days a week, the Meeting recommends that the resident take up to 30 days of vacation each year. The days may be taken at the resident’s discretion--all at once or here and there--but the resident should notify the Residence Committee as far as possible in advance.
Coverage While the Resident is Absent
Members of the Residence Committee are responsible for performing the duties of the resident when the resident is absent. Tasks which require coverage:
Picking up phone messages daily (unless the resident chooses to handle this; the answering machine code is 0123)
Checking e-mail for guest communications daily (unless the resident chooses to handle this)
Scheduling (unless the resident chooses to handle this), welcoming, providing services for guests in the apartment
Security checks made each time the building has been opened
Trash/recycling pick up
First Day cleanup after Meeting and securing the building
Garden watering in summer
Meetinghouse Security
The resident is responsible for checking the grounds daily before retiring to make sure the building is secured.
On a First Day, or another occasion when the building is in use, if the resident will not be available to check that the building has been locked, the resident will notify the closer for that day of their absence and a member of the Residence Committee will need to check the building before dark.
Introductions and Casita Open House
Soon after taking up residence the Resident Friend shall be scheduled (through the invitation of Ministry and Oversight Committee) to make an introductory presentation to the Meeting to share their gifts and areas of expertise in relation to Quakerism. The resident is also requested to host two open houses per year for Friends to visit the casita.
Requests for Additional Resident Help
If someone in the meeting wants the resident to take on a task, the request must go to the Residence Committee rather than directly to the resident.
